Document Scanning

Radaro’s Document Scanning feature allows you to scan pages such as signed invoices, receipts or custom documentation and attach them to your job during the POD/completion workflow.

Document Scanning is a quick and simple way to ensure that all the documentation related to a job is kept in one place, by enabling drivers to capture, attach and tag documents simply by using their smartphone’s camera.

 

Why do clients use Document Scanning?

More and more businesses are trying to reduce the requirements for paper, and in particular the use of paper within the delivery process.  

The need for Drivers and Service Technicians to carry and return paperwork has always been a burden leading to delays in processing, and risk of documentation being lost or misplaced.  

Document Scanning allows field documents to be digitised and recorded against the relevant job in real time meaning no filing or additional storage. 

Scanning vs Photos

Why would you scan a document rather than just simply taking a photo?

While taking a photo of the document still creates a digital record within the job report, a document scan provides additional benefits:

  1. All scans will be uniform based on the document size.  
    1. When taking a photo, the quality of the image can be impacted by the camera's angle and/or distance to the document.  For the scan process, simply hover your device over the document, the four corners are picked up and the uniform scan completed. 
  2. Scans are stored as PDF files which can easily be downloaded or printed with no formatting required.
  3. Ability to "tag" scanned documents.
    1. Radaro enables customised tags to be created that can then be attached to the scanned documents.  This makes identification of documents easy and allows for automated filing which can be used to automate processes such as invoicing or payments based on delivery.  

How can you access/view the scanned documents?

The documents are recorded and can be accessed via:

  1. The Management Portal via the individual job report
  2. API webhook events - the use of an API can enable documents to be uploaded directly to your source system.
